Tanzania Vacation Company – Booking Terms & Safari Guidelines
1. Reservations & Payments
To confirm your safari, a deposit of 50% of the total tour cost is required 90 days prior to departure. The remaining balance (50%) is due 30 days before your safari begins.
Please note: All payments must be made via bank transfer. Clients are responsible for any bank or transfer charges incurred.
2. When to Book Your Safari
We strongly recommend booking well in advance, especially for travel during peak seasons (June to February and over the Christmas holidays). This ensures availability of accommodations and other services.
Custom private safaris and trips with extensions require particular advance planning.
Booking at least 8 weeks (2 months) prior to your arrival will increase the likelihood of securing your preferred accommodations and itinerary.
3. Cancellation Policy
All cancellations must be made in writing. The following cancellation fees apply:
After booking confirmation: Deposit is normally non-refundable as it is used to book for client’s accommodations, flights and other pre safari preparations
60 days before safari departure: 50% of the total tour cost
Less than 60 days before departure: 100% of the total tour cost (no refund)
Please ensure you understand these terms before confirming your trip. Bank transfer fees are non-refundable.
4. Travel Insurance & Liability
Travel insurance is mandatory. Your policy should cover:
Medical expenses
Personal accident or injury
Baggage loss
Trip cancellations or interruptions
Tanzania Vacation Company acts as an agent on your behalf when arranging accommodation, transport, and other travel services. We are not liable for illness, injury, death, loss, delay, or damage resulting from acts of third parties (e.g. hotels, airlines), weather, or other causes beyond our control.
5. Transportation
We provide well-maintained vehicles suitable for safari conditions, including 4×4 Land Cruisers, minibuses, or others based on terrain and weather. If you have a vehicle preference, let us know in advance – we will do our best to accommodate it.
All safaris start and end in Arusha or Dar es Salaam. If your trip begins or ends elsewhere, please notify us during booking.
6. Pricing & Inclusions
Our quoted safari prices include:
Ground transport during the safari
Park entrance fees
Accommodation (camping, lodge, or hotel)
Meals during the safari
Services of an experienced driver-guide
Our prices do not include:
Pre- and post-safari hotel stays
International flights
Alcoholic beverages, laundry, personal items
Gratuities (tips)
Passport and visa fees
Pricing varies based on your choice of:
Transport type
Accommodation category (camping, mid-range, luxury)
Hotel or lodge rating (1 to 5 stars)
Group size
7. Camping Safaris
Camping safari pricing depends on the number of participants. A maximum of four guests per vehicle (excluding the driver-guide) is observed to ensure comfort and provide each guest with a window seat for optimal game viewing.
Extended vehicles can be arranged for larger groups or specific seating requests.
8. Accommodation
Tanzania Vacation Company reserves the right to substitute hotels or lodges with alternatives of similar standard when necessary. Early booking (ideally 45–60 days prior) minimizes the likelihood of accommodation changes.
9. Additional Costs & Tipping
Your safari package covers:
Accommodation and meals while on safari
Park fees
Airport transfers (if arranged with us)
Services of guides and drivers
Additional costs not included:
Beverages and personal expenses (e.g., phone, laundry)
Tipping (customary for guides, cooks, and camp staff)
Passport, visa, and insurance fees
We strongly recommend purchasing comprehensive travel insurance to protect against unexpected travel disruptions or personal loss.
10. Credit Card Policy
At this time, Tanzania Vacation Company does not accept credit card payments. All pre-payments and final balances must be made via bank transfer. Please confirm with us before transferring funds.
